PROBLEM

WhatsApp is great for chatting, but when it comes to planning events and gatherings, it gets tricky. The chat becomes cluttered, and important details get lost. This makes planning events stressful and disorganized.

SOLUTION

To address this, I'm crafting a feature that embeds event planning smoothly into the WhatsApp's ecosystem. It's about transforming the chaos into an organized symphony of plans, keeping all the details in check without ever stepping outside the chat.

DISCOVERY

Let’s get to the story...

Picture this: You're planning a get-together over WhatsApp, thinking it'll be a breeze.

Instead, hours disappear into a black hole of messages. And when details

become vital, they're buried in a never-ending chat history. That familiar feeling of

"what have I gotten myself into" washes over you... I get it; I've been there too.

Diving Through...

Determined to find a solution, I dove into user interviews. Those passionate about

using WhatsApp for its convenience shared the same pain points—a constant search

for information and the dread of missing key details. Their stories sparked a realization:

COMPETITOR ANALYSIS

I started by analyzing existing messaging and event planning tools to understand
the competitive landscape. While these tools excel at logistics, they neglect

the social component that makes WhatsApp shine.

This analysis unveiled a crucial gap: Effective event management tools exist, but they

miss the mark on creating the social buzz and engagement that comes naturally

to WhatsApp. This presents a golden opportunity to enhance WhatsApp's event

planning features, seamlessly blending logistics with the platform's social strengths.

IDEATION

Based on the insights gathered from user interviews and the identified challenges, I have prioritized

key features to focus on for Whatsapp users.

Based on the insights gathered from user interviews and the identified challenges, I have prioritized key features to focus on for Whatsapp users.

  • Simplifying the event organization process.

  • Ensuring easy access to crucial event information.

  • Streamlining communication for event planning and coordination.

VISUALIZING CONCEPTS

I drafted the initial designs for the app, focusing on the interactions that would enable users to

seamlessly organize their events. The sketches aimed to capture the ease of managing RSVPs,

and event details, while also highlighting the journey toward a well-coordinated event.

My design work is currently centered on two main features for WhatsApp's event planning:

  1. The guest's perspective of the form feature which can be pinned (In this case it’s going to a potluck list)

  2. The host's perspective of RSVP’s interface.

Due to time constraints, my immediate focus will be on perfecting the above two features.

Although, my initial aim was to explore how these forms can be customized for various events,

offering flexibility and a personalized touch and also show host’s perspective on how to create the forms.

TESTING AND ITERATION

I tested my designs in two main steps. First, I checked what users preferred and

how each design performed. And in next phase, the emphasis shifted towards

testing the product flow, making sure it was easy and intuitive to use from beginning to end.

CONCEPT VALIDATION ( PHASE 1.0)

I tried multiple variations of our primary features to explore possibilities. I mainly

experimented with interaction patterns and user interfaces that work best for

users with ease.

Task 1:

My goal was to figure out how the design variation of the RSVP would affect

the user’s completion time. 30 people were asked:

  • To RSVP for the event

  • Their preference between the two variations

USABILITY TEST ( PHASE 2.0)

Once I finalized the design options, I ran one more round of usability test to check if overall flow is good. This phase focused on assessing users' reactions and experiences as they completed specific tasks. Refer to the "BEFORE" and "AFTER" sections to view the design revision.

Final Design

Here are the final versions of my design screens, showcasing the enhancements and

refinements made after various testing rounds. Alongside these, I've included

a live Figma prototype to demonstrate the designs in action.

Planning form feature

The feature allows users to create customizable

forms for events, like a potluck list, where

attendees can pick and note the dishes they'll bring.

This flexibility ensures the form can be tailored to suit

various event types and their specific requirements.
